Booking Terms, Payments & Cancellation Policy โ Amazing Jungles Travels
These Terms and Conditions outline the agreement between you (the client) and Amazing Jungles Travels regarding your safari or tour booking, payments, changes, cancellations, and responsibilities.
By confirming a booking and making any payment, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
1. Booking Confirmation & Contract
A booking is considered confirmed once:
- You have accepted your proposed itinerary; and
- The required deposit has been received by Amazing Jungles Travels.
At this point, a binding contract comes into effect between you and Amazing Jungles Travels.
The lead traveler making the booking:
- Accepts these Terms and Conditions on behalf of all travelers included in the booking.
- Is responsible for ensuring that all traveler information provided to us is accurate and matches the travelers’ passports and official travel documents.
2. Deposit & Payment Terms
- A 50% deposit is required to secure your safari or tour.
- The remaining 50% balance is due 30โ45 days before arrival, unless otherwise agreed in writing.
- For bookings made within 45 days of travel, full payment is required at the time of confirmation.
Certain services, including flights, trekking permits, park-related permits, or other third-party services, may require full payment in advance and may be non-refundable.
Failure to complete payment within the required timeframe may result in cancellation of the booking and the application of the applicable cancellation charges.
3. Payment Methods
Amazing Jungles Travels accepts the following payment methods:
- Bank transfer
- Credit or debit card, including Visa and MasterCard through secure payment gateways
- Mobile money, where applicable
A 3.5% processing fee applies to card payments.
Clients are responsible for any bank charges, international transfer fees, currency conversion charges, or other costs associated with transferring funds to Amazing Jungles Travels.
All payments are processed securely and only with the client’s authorization.
4. Cancellation Policy
We understand that travel plans can change. Our cancellation policy is designed to balance flexibility for our clients with costs that Amazing Jungles Travels may have already committed to accommodation providers, transport providers, parks, airlines, guides, and other suppliers.
Cancellation charges are applied per person as follows:
| Cancellation Timing | Cancellation Charge |
|---|---|
| 60+ days before travel | Full refund, excluding non-refundable amounts |
| 30โ59 days before travel | 25% cancellation fee |
| 14โ29 days before travel | 50% cancellation fee |
| 8โ13 days before travel | 75% cancellation fee |
| Less than 7 days / No-show | 100% cancellation fee |
Cancellation requests should be submitted to Amazing Jungles Travels in writing.
Important Notes on Cancellations
The following may be non-refundable regardless of when cancellation occurs:
- Flights and airline tickets
- Gorilla, chimpanzee, or other trekking permits
- Park permits or other permits that cannot be refunded
- Services already paid to third-party suppliers
- Any other costs identified as non-refundable at the time of booking
Where supplier terms result in higher non-refundable costs, those costs may be deducted from any refund due to the client.
Flexibility Where Possible
We understand that unexpected circumstances can arise.
Where practical and subject to availability, Amazing Jungles Travels may offer:
- Changes to travel dates
- Changes to accommodation
- Changes to the itinerary
- Travel credit toward a future safari
- Alternative arrangements with our suppliers
Any additional costs resulting from changes will be communicated to the client before the changes are confirmed.
Our goal is always to find a fair and practical solution whenever circumstances allow.
5. Supplier Policies
Amazing Jungles Travels works with carefully selected third-party service providers, including:
- Lodges and safari camps
- Hotels
- Airlines and charter companies
- National parks and conservation authorities
- Transport providers
- Local guides and activity providers
- Trekking and permit authorities
- Other tourism and hospitality suppliers
These suppliers may have their own booking, payment, amendment, and cancellation policies.
Where a supplier’s terms are stricter than those of Amazing Jungles Travels, the supplier’s applicable terms may apply to that service.
Any unrecoverable costs charged by suppliers may be deducted from the amount refundable to the client.
6. Refund Policy
Where a refund is applicable, Amazing Jungles Travels will first confirm the recoverable amounts from the relevant suppliers.
Refunds may exclude:
- Non-recoverable supplier costs
- Card processing fees
- Bank or international transfer charges
- Non-refundable permits and tickets
- Costs already incurred in organizing the safari or tour
- Other charges that cannot reasonably be recovered
We will make reasonable efforts to recover eligible amounts from suppliers and return the maximum recoverable amount to the client.
Refund processing times may depend on the payment method and the time required for third-party suppliers to process refunds.
7. Changes to Bookings
We understand that travelers may need to adjust their plans after booking.
Booking changes are subject to:
- Availability
- Supplier approval
- Permit availability
- Accommodation availability
- Airline or transport conditions
- Applicable additional costs
Additional charges may apply where a requested change results in higher accommodation, transport, permit, activity, or supplier costs.
Requests made close to the date of departure may be treated as a cancellation and rebooking and may therefore be subject to applicable cancellation charges.
8. Travel Insurance
Amazing Jungles Travels strongly recommends that every traveler obtain comprehensive travel insurance before departure.
Insurance should ideally cover:
- Trip cancellation or interruption
- Medical expenses
- Emergency evacuation
- Lost or delayed baggage
- Flight delays and cancellations
- Personal belongings
- Other unexpected travel-related expenses
Where applicable, Amazing Jungles Travels may include AMREF emergency evacuation cover as part of the safari arrangement.
Any included emergency evacuation cover does not replace comprehensive travel insurance.
Clients remain responsible for understanding the scope, limitations, exclusions, and conditions of their insurance policy.
